The inspection itself is routine. What matters — and what carriers actually get caught on — is the trail afterwards: a defect was reported, and then what?
The short answer
A DVIR is the record a driver produces documenting the condition of the vehicle, particularly any defect that would affect safe operation.
Its purpose is not the paperwork. It is to create a documented moment where the carrier becomes formally aware that something is wrong. Once that record exists, the question is no longer whether anyone knew.
The critical property: a reported defect and its resolution have to connect. A DVIR noting a problem, with no repair record, no sign-off, and the truck back on the road, is the single worst artifact you can hand an investigator. It is worse than having no record at all, because it proves awareness without action.
The loop that has to close
- The driver inspects and reports — including "no defects", which is itself a record worth having
- A defect affecting safe operation is addressed
- The repair, or the determination that no repair was needed, is documented
- The vehicle returns to service with that trail intact
Every step needs to be attributable and dated. "We fixed it" is not a record.
Where this breaks in practice is between steps 1 and 2 — the defect is reported to a person rather than to a system, that person is busy, and the report ages quietly while the truck keeps running.
Why photos matter more than checkboxes
A checkbox says a category was inspected. It does not say what was seen.
A photo attached to a defect does several things a checkbox cannot: it lets whoever schedules the repair understand severity without a phone call, it makes the before-and-after comparison possible, and it substantiates the record if anyone asks later.
It also changes driver behaviour. An inspection that requires evidence of a defect is harder to complete without looking.
Periodic inspections are a separate obligation
Pre-trip and post-trip reports are the daily layer. Periodic inspection requirements exist alongside them and are not satisfied by daily reports — they are a different obligation with their own schedule and documentation.

The dispatch connection
An overdue inspection is not just a records gap. It is an operational risk that compounds: the truck is dispatched, it is inspected roadside, and the problem surfaces in the worst possible setting.
Some carriers enforce this structurally — a truck whose walk-around is overdue cannot be assigned a load until it is cleared. That is a blunt control and it is occasionally inconvenient, which is rather the point. It converts a compliance question into an operational one, where somebody actually notices it.
The tradeoff is real: a hard gate will occasionally stop a load that could have gone. Whether that is worth it depends on your tolerance and your history, and it is a decision worth making explicitly rather than by default.
What good looks like
- Inspections recorded against the vehicle, not on paper in a cab
- Defects that create a work order rather than a conversation
- Repairs documented and linked to the defect that prompted them
- Overdue inspections visible to whoever assigns loads, before assignment
- Records retrievable per vehicle without a filing-cabinet expedition
